This can mean focusing on strong program organization, customer service, and problem-solving that build word-of-mouth references; alongside social media content, emails, new member orientations, coach meet & greets, and more.

ANNUAL JUNIOR SPORTS GUIDE

Published before registrations each season, the goal is to create a go-to resource that covers the details participants need in an easy-to-read and engaging format. Each and every date, time, cost, & policy is included. This year I added more Q&As based on what questions we receive most often from parents the previous year.

Once I prioritized making this guide useful, detailed, and up-to-date throughout the whole season, our parent phone calls and emails dropped significantly - meaning less confusion in getting kiddos where they need to be.

Collaboration is crucial to pull-off a summer program! I organized the program, including leading coaches, committees, staff, and parents. I looked through each and every class schedule and event date, managed resource usage parameters (courts, pool, course, etc.), and monitored participant ages to ensure we were set up for success. I led the Summer Activities Committee, both bringing issues to their attention and creating solutions to their feedback. I trained new head coaches on setup, parent communications, our registration system, and more.

REGISTRATIONS

SETUP NEW RESERVATION SYSTEM IN 2024

  • Drop-downs and categories keep things clean and organized.

  • A checkbox system allows parents to register multiple kids and multiple sports quickly - all in one fell-swoop.

  • Provided parents with resources in advance to make their registration plan.

  • Participants are setup in our system in advance - with accurate birthdays and parent contact information.

COMMUNICATIONS

EMAILS, TEXTS, & RESOURCES SPECIFIC TO EACH CLASS

Clarity is crucial for the success of programs this size. Communications may include reminders of what to bring to tomorrow’s swim meet, class cancellation notices in the event of poor weather, team photo reminders, a parent photo gallery, and more. Having a majority of communications setup in advance from one source ensures everything is cohesive, no details are missed, and that seasonal coaches can focus on what they do best - coaching!

TRANSITIONS

AS THE PROGRAM CONTINUED TO GROW, I SAW A NEED…

  • In 2024 I hired trained, and supervised a new role - our Summer Programs and Marketing Intern. They helped fill the gaps we needed for a season, and even contributed video and photo content to our social media channels with trainings, guidelines, and reviews I provided.

  • In 2025, I trained our new Membership & Programs Coordinator. She has done great work filling in more of the gaps we realized we were missing, and I am happy to say they now feel confident to fully lead the program on their own next year!
